Your sales inbox: start here
This guide and Excel contact uploader are hosted on your server. Open your Chatwoot inbox securely below. Excel conversion runs in your browser, and sending accounts must be connected separately.
1. Open your portal and log in
Open Chatwoot inboxUpload Excel contactsDownload offline testing kit
- Open https://sales.mmcmails.in on your computer or phone.
- Log in with wireddatacenters@gmail.com and the Chatwoot password you created, not your Gmail or server SSH password.
- If onboarding appears, complete the remaining questions using your real details. Company size is 1–10, language English, and time zone Asia/Calcutta.
- Use the Excel uploader to convert your spreadsheet, then upload the downloaded CSV through Chatwoot → Contacts → Import.
This is the standard Chatwoot inbox plus a contact-conversion helper. WhatsApp, email, calendar booking and automatic AI replies still require their own connections. No passwords or provider tokens are included in this website.
2. Inspect the local demo first
A test inbox called Local Demo - website only has been created with a fictional contact and enquiry. It is separate from WhatsApp and email.
- After onboarding, open the demo conversation. If redirected, finish onboarding, then open the link again.
- Read the enquiry about migrating 20 servers in India. The suggested response is a private note, visible to staff rather than a customer reply.
- To draft another response, open Hermes Chat and paste a fictional enquiry using SAMPLE-MESSAGES.txt. Copy the answer back as a private note.
- To try a visitor-side website chat, open the local demo widget, start a new test conversation, and send “DEMO ONLY: Please help us plan a cloud migration.” The widget token is a public website identifier, not an administrator credential.
- In Chatwoot, open Conversations → All or Unassigned, select the new demo conversation, and reply “This is a test reply.” Check that the visitor widget receives it. A website-chat reply goes only to that test browser.
What this proves: you can receive a chat and respond through the inbox. It does not prove email, WhatsApp, calendar booking, or automatic AI replies.
3. Upload your Excel contacts
- Save your contact workbook as .xlsx. For an old .xls file, use Excel → Save As → Excel Workbook (.xlsx). Keep a heading row and save phone numbers as text with their country code.
- In the uploader, choose the file and worksheet. Map your columns to Name, Email, Phone, Identifier. Only the mapped columns will be exported.
- Select Preview. Review the counts and first 20 valid rows. Duplicate contacts and invalid rows are excluded; fix invalid rows before exporting the full list.
- Click Download Chatwoot CSV. Open Chatwoot → Contacts → Import, select the downloaded CSV, and confirm the field mapping.
- Try sample-contacts.csv first. It contains three fictional contacts, no real phone numbers, and non-deliverable example.invalid email addresses. The first contact already exists in the demo; verify how your import handles it.
Chatwoot's native importer accepts CSV, not this helper's .xlsx upload. Conversion happens in your browser; uploading and exporting here does not transmit the file to an external service. Importing contacts into Chatwoot does not send messages.
For additional fields such as company or service interest, configure Chatwoot contact attributes and extend the mapping separately. The included helper exports the four standard fields only. Official contact-import guide.
4. Connect your Gmail inbox
Start by testing with your own second email address. Email reading/sending is not connected yet.
- Sign into Gmail as wireddatacenters@gmail.com.
- Open Google Account → Security. If using an app password, enable 2-Step Verification, then open App passwords. Create a dedicated password for this Chatwoot connection and enter it only in your own account settings. Some account policies do not allow app passwords; use the supported Google OAuth setup in that case.
- In Chatwoot, open Settings → Inboxes → Add Inbox, choose Email, and follow the provider/Other provider setup. Give it a clear name such as “Wired Gmail”.
- Use the settings below for IMAP/SMTP when that method is offered. Add yourself as an agent, save, and verify the connection.
- From a second email address you control, send a message to wireddatacenters@gmail.com with subject “DEMO - cloud migration enquiry”. Find it in Chatwoot, reply, and confirm delivery back to your second inbox.
| Field | Setting |
|---|---|
| Incoming IMAP | imap.gmail.com · 993 · SSL/TLS |
| Outgoing SMTP | smtp.gmail.com · 587 · STARTTLS Alternative: 465 with SSL/TLS, not STARTTLS |
| Username | wireddatacenters@gmail.com |
| Password | Your dedicated Google app password, if supported |

Important: an email inbox connection is not a bulk-email campaign engine. This installation has no bulk-email sender configured. Portal password-reset emails also require separate installation-wide outgoing SMTP settings; connecting one inbox does not complete that setup automatically.
5. Connect and test WhatsApp
Public HTTPS is ready at https://sales.mmcmails.in. Use the exact callback URL shown by your Chatwoot WhatsApp setup in Meta. The number, access token, webhook subscription and approved templates still need configuring. A custom business domain can replace this free hostname later.
- Log into Meta Business Suite and Meta for Developers → My Apps. Use the business that owns the sending number.
- Follow Chatwoot's manual Cloud API guide to prepare the Meta app, WhatsApp account/number IDs, and system-user access token. Keep tokens out of this ZIP and chat.
- Open Add Inbox → WhatsApp. Choose the supported setup method, enter the required values, and configure Meta with the callback URL and verification token shown by your installation.
- Complete Meta's webhook verification and message subscription. Test with Meta's test number and your own approved recipient where available before using the business number.
- Send a message from your own phone to the test/business number. Confirm it appears in Chatwoot; reply and check your phone.
- For outbound campaigns, prepare an approved template, select only eligible contacts, and send the first test to your own approved number. Verify delivery before scheduling a wider campaign.
Existing WhatsApp Business app number? Manual Cloud API setup does not support keeping that app through Coexistence. Do not delete or migrate your active number just to test. Check Quick setup eligibility or use a dedicated test number first.
After connection, open Campaigns → WhatsApp. Availability depends on the connected inbox and account features. See campaign instructions and Meta messaging prices. Chatwoot Community software is free; chargeable WhatsApp messages are not free.
6. Add users and more sending accounts
- Use Settings → Agents to add team members with individual logins. Invitation emails require working outgoing mail. Assign each agent only to the inboxes they need.
- Use Settings → Inboxes → Add Inbox for each additional email address or WhatsApp number. Name the inboxes by business and owner.
- Each address/number needs its own supported authorization. A team login and a sending account are different things.
- To stop using an account, disconnect its provider access and review its inbox configuration. Do not delete an inbox merely to pause it; deletion can remove associated conversation history.
Use Profile settings for your Chatwoot password. Forgot-password emails remain unavailable until installation-wide SMTP is configured.
7. Calendar, calling, LinkedIn and AI
| Feature | Current state and next step |
|---|---|
| Calendar / meeting booking | Open Google Calendar and sign into your chosen account. For an initial test, manually create a discovery meeting, set the time zone and invite an email you control. Automatic availability checks and bookings from Chatwoot need a separate integration, which is not installed. |
| Phone calls | Your agreed workflow is booking discovery meetings. Automatic outbound calls are not configured. Calling features need a compatible provider and may have usage charges. |
| Sign into LinkedIn for manual prospecting and messages. This Chatwoot installation has no LinkedIn connector, posting scheduler, or bulk-DM feature. Check LinkedIn's automation rules before selecting any integration. | |
| Hermes AI | Hermes remains private through the existing SSH connection at localhost:9119. It is not published on this website. Drafts can be copied manually for now; automatic AI responses inside Chatwoot are not connected. |

8. Recommended test order
- Finish onboarding and inspect the fictional conversation.
- Try one visitor-side website chat and reply from Chatwoot.
- Preview your Excel contact list, export CSV, and import the fictional sample first.
- Connect Gmail and complete one send/receive test between your own addresses.
- Connect Meta to the public HTTPS inbox address, then test WhatsApp with your own recipient.
- Complete calendar and AI integration separately before enabling any automatic replies or booking claims.
If the website does not open: confirm your internet connection and use the HTTPS URL shown above. Some networks block free dynamic DNS domains; contact the server administrator or use a business domain if that occurs. If the UI keeps showing onboarding, complete the required questions first.
This kit contains no account passwords, SMTP credentials, Meta tokens, or AI-provider tokens. Keep those in your own account settings. Server configuration and database backups remain outside this ZIP.
